Hotel meetings and technical production: how we scope them
An event in a hotel or venue depends on two separate decisions: the space, and the technical layer on top of it. Describing both clearly gets you a useful quote.

Start with the venue
Tell us the venue or hotel, the room, the date, the expected number of guests and the room layout you have in mind. Ceiling height, load-in access and power are worth asking the venue about early.
The technical layer
Typical building blocks are sound, lighting, stage and LED screens. Each project is scoped on its own, based on the room, the programme and the audience. We quote per project; we do not describe a fixed equipment list of our own.
Quoted, not off the shelf
Requirements drive the quote. A short briefing session with a few speakers is very different from a gala with a show. Share the running order and the number of presenters or performers.
What this is not
Quote requests are not accreditation or a guarantee of venue approval. Venue rules, permits and any official requirements remain with the venue and organiser, and we will say clearly where we can and cannot help.
